Workspaces

What it is

A workspace is one business's own, separate Threadline. It has its own channels, knowledge bases, conversations, contacts, team, settings and plan.

One person can belong to several workspaces and switch between them with a single login.

The problem it solves

Without workspaces, a person with two businesses would need two logins, and their data could get mixed up. A customer of the bakery might get an answer from the car repair shop's price list.

Workspaces keep each business in its own box:

  • Nothing crosses over. A channel, document, contact or conversation in one workspace never shows up in another.
  • One login. You switch between businesses in two clicks instead of logging out and in.
  • One plan, separate limits. Your plan covers all your workspaces, and each workspace has the plan's limits to itself, so one busy business does not use up another's.

This is useful if you own several brands, or if you are an agency that looks after Threadline for several clients.

How it works

When you log in, you are always "inside" one workspace. Everything you see belongs to that workspace only. Switching workspace changes what your whole login is looking at.

Your role is set per workspace. You can be an Admin in your own business and an Agent in a client's.

1. Switching workspaces

When you belong to more than one workspace, a switcher appears at the top of the sidebar. It shows the workspace you are in, with its plan underneath.

  1. Click the switcher.
  2. Under Your workspaces, you see each one with your role there (Admin or Agent).
  3. Pick the one you want.

The app reloads in the new workspace. Switching changes your whole login, so if you have Threadline open in several browser tabs, they all move to the new workspace the next time they load a page.

The switcher stays hidden if you have only one workspace and are not an Admin who can create more.

2. Creating a workspace

Admins can create more workspaces under the plan they already pay for. You do not buy a second subscription.

  1. Open the switcher and choose Create new workspace.
  2. Give it a name.
  3. You are taken straight into the new workspace. It already has your plan's features, so there is no plan to choose.

How many can I create? Your plan decides. Each plan has a Workspaces limit that counts the workspace you subscribed in and every one you create under it. For example, a plan with 3 workspaces lets you have your first one and two more. Your usage shows under Workspaces on the Billing page and on the Dashboard's plan usage.

Good to know:

  • One subscription covers them all. The new workspace is covered by the plan of the workspace that holds your subscription. Renewals, invoices and payment history stay with that workspace.
  • Every workspace gets the plan's limits to itself. If your plan allows 5 channels, each workspace can have 5, not 5 shared. Only the number of workspaces is shared.
  • Change or cancel the plan from the workspace that holds it. In a workspace created under your plan, the plan and billing pages send you back with the name of that workspace. If you cancel the plan or it ends, every workspace under it is locked until you renew it there. Nothing is deleted.
  • At your limit? You see a message saying how many workspaces your plan includes, and to upgrade to add more. Moving to a bigger plan raises the number at once. Moving to a smaller plan never deletes workspaces; you simply cannot create more until you are under the limit.
  • You need a plan first. If you have not chosen a plan yet, you are asked to choose one before creating more workspaces.
  • Workspaces you were only invited to do not count, and an Admin invited to someone else's workspace cannot add workspaces to that person's plan.

Agents work inside the workspaces they are invited to. They cannot create their own.

3. Teams across workspaces

Each workspace has its own team, managed on the Agents page. See Your Team for the basics of inviting and managing people.

Inviting someone who already uses Threadline

Enter their email as normal. If that email already belongs to a Threadline user, they are added to your team as they are. No new account is made and no password email is sent. Your workspace simply appears in their switcher.

Their name, designation and password belong to them, so the invite form does not change these. You cannot add the platform owner, or someone who is already on your team.

People who work in more than one workspace

An agent on your team who also works in another workspace is marked Also works in other workspaces. Their profile is shared across all their workspaces, so only they can change it.

  • You cannot edit their name or email, deactivate them, or send them a password reset.
  • You can remove them from your team. They keep their other workspaces. Any conversations assigned to them in your workspace become unassigned. If your workspace was the one they had open, they are moved to another of theirs.

Agents who work only on your team are edited and removed in the normal way. Removing one of those deletes their account.

Roles and limits

A person's role is per workspace. Your plan's agents limit counts everyone on that workspace's team, wherever else they also work.

Common questions

I cannot see the workspace switcher. You have only one workspace and you are an Agent. Admins always see it, because they can create workspaces.

It says my plan includes N workspaces. You have used them all. Upgrade your plan to add more, or ask whoever runs the platform.

A new workspace says its plan has ended. The plan that covers it has ended. Open the workspace that holds the subscription (the message names it) and renew there.

A workspace is missing from my list. Suspended workspaces are not shown. Contact whoever runs the platform.

Will my agents see my other workspaces? No. Each person sees only the workspaces they belong to, and only the people and data in the one they have open.

Can I move a contact or a document from one workspace to another? No. Workspaces are fully separate. Export the contacts from one and import them into the other, or upload the document again.
