Data and Security
What it is
This page covers the tools that protect your account and your data, all under Settings:
| Page | Who | What it is for |
|---|---|---|
| Profile | Everyone | Your name and email. Deleting your account. |
| Security | Everyone | Changing your password. |
| Devices | Everyone | The browsers you are signed in on. |
| Activity log | Admins | Who did what in the workspace. |
| Export my data | Admins | A download of all your workspace data. |
The problem it solves
- "Someone else may know my password." You can change it and sign out other browsers.
- "Who changed that channel's token?" The activity log says who and when.
- "I need a copy of our data, or I want to leave." Export gives you everything in spreadsheet form.
- "I forgot to sign out on a shared computer." Devices lets you sign it out from here.
1. Profile
Settings, Profile. Change your name and email address, then Save. If you change your email, you may be asked to confirm it again.
Delete account is at the bottom. It deletes your account and everything that belongs to it. This cannot be undone, so you are asked to confirm.
2. Security: your password
Settings, Security. Threadline may ask you to confirm your password first, because this is a secure area. Then enter your current password and a new password twice, and Save. Use a long, random password that you use nowhere else.
Password changes are recorded in the activity log.
3. Devices
Settings, Devices lists the browsers you are signed in on: the browser and system (for example "Chrome on Windows"), the IP address, and when it was last active. The one you are using is marked This device.
- Sign out next to a device ends that session.
- Sign out all others ends every session except this one, after you confirm your password.
If you see a device you do not recognise, sign it out and change your password.
If your installation does not store sessions in its database, the page explains that this feature is unavailable.
4. Activity log (Admins)
Settings, Activity log. A record of what happened in your workspace, so you can answer "who did that?".
What is recorded
| Kind | Examples |
|---|---|
| Sign-ins | Signed in, signed out, password or security changes. |
| Team | A team member invited, added, changed or removed. |
| Channels | Connected, edited, credentials changed (which fields, never the values), disconnected. |
| Campaigns | Launched, scheduled, paused, resumed. |
| Automations | Created, switched on, switched off. |
| API tokens | Created, revoked. |
| Exports | A data or report export was requested. |
Changes made through the REST API are recorded as well as those made in the app. Passwords, tokens and keys are never stored in the log.
Using it. Filter by kind, person and dates, then press Filter. Each row shows when, who (with email), what happened, and what it was about. Export CSV downloads the filtered rows (and that export is itself recorded).
5. Export my data (Admins)
What it is. A request for a ZIP of spreadsheets (CSV files) with the data of your whole workspace.
What is inside: contacts (with tags, groups and custom fields), conversations (with labels and response times), messages (team notes are marked as notes), campaigns and every recipient's result, templates, automations and deals.
Never included: passwords, API tokens and channel credentials.
How it works
- Click Request export.
- Threadline builds the file in the background, a bit at a time, so even a large workspace works.
- When it is ready you get a bell notification and an email with a private download link.
- The link works for 72 hours, and only while you are signed in as an Admin of that workspace.
Limits: one export at a time, and three a day. Files are deleted automatically after they expire. Requests and downloads are recorded in the activity log. The files are safe to open in a spreadsheet.
Good to know
- Everything you see here is about your own workspace and user. Another workspace's data is never included.
- Two-factor authentication is not available in this version.
- You can see a list of all the plan's sessions only for yourself, not for other people.
Common questions
I never got the export email. Check spam, and the bell. The page shows "Building your export…" until it is ready.
The download link says it expired. Request a new export.
I cannot see the Activity log. It is for Admins.
Can I recover a deleted account? No. Export your data first if you might need it.
