Threadline

Media Library

What it is

The Media library is a shelf of files you have uploaded once and can use anywhere in Threadline: pictures, short videos, audio clips and PDFs. Open it from Workspace, Media library in the navigation (an Admin area).

The problem it solves

Without a library, every time you needed the same logo, product photo or price-list PDF you would upload it again, in each template, each campaign and each message, and lose track of which copy is which. Files would also be scattered across your computer.

With one library you upload once, pick from a picker everywhere, and see how much storage you use.

How it works

  1. You upload files to the library.
  2. Wherever Threadline asks for a file, a picker shows your library so you choose one.
  3. Threadline keeps the file on its storage (or on your own S3-compatible storage, if the person who runs your installation set that up) and gives it a link.

1. Uploading

Click Upload files and choose up to 10 files at once. Allowed types:

Kind File types
Images JPG, PNG, WebP, GIF
Videos MP4, 3GP
Audio MP3, OGG, AAC, M4A, AMR
Documents PDF

Each file can be up to 16 MB. Other kinds of files are refused with a message.

2. Browsing

  • Tabs: All, Images, Videos, Audio, Documents.
  • Search by file name, and choose how many to show per page.
  • Each file shows a picture or icon, its name and its size.
  • Copy link copies the file's web address, for example to put it in a message.
  • The bin button deletes the file after you confirm.

A line at the top shows how much storage you have used and your plan's limit (or "No limit on your plan").

3. Where you can use a file

  • WhatsApp templates: image, video or document headers. See WhatsApp Templates.
  • Inbox: Attach from the media library in the reply box. See Inbox.
  • Automations: the Send an image step.
  • Auto replies: an image reply. See Auto Replies.
  • Social posts: pictures for Facebook and Instagram. See Social Media.

4. Deleting a file

Deleting stops it working everywhere it is used. The confirmation says "Anything using its link will stop showing it." Check before deleting a file that a template or a scheduled post uses.

5. Storage and plan limits

Your plan may limit media storage. When the library is full, new uploads are refused until you delete something or upgrade. The Billing page shows your usage. See Plans and Billing.

Common questions

Why was my upload refused? The file type is not allowed, it is over 16 MB, or you are over your storage limit.

Can I upload a Word or Excel file? No. Convert it to PDF first.

Can I send a video to customers? Yes where the channel supports it, using the supported formats (MP4, 3GP). Large videos may be refused by WhatsApp itself.

I deleted a file by mistake. It cannot be recovered. Upload it again and select it where it was used.
